CREATING AND SENDING A NEW E-MAIL

After login, if a user wants to create an E-mail click on COMPOSE button and the following window will display on the screen.

In this window, To text box carries the E-mail address of the recipient, Subject carries the heading for E-mail and the whole body of text matter comes within the Body option. For sending an E-mail, click on Send button. E-mail delivers to the recipient’s end instantly.

Instead of this, if a user wants to send a file (.doc, .pdf, .jpg, etc.) then click on Attach files for the attachment of files. There are various options which are accessible within an E-mail like Text Formatting, Cc (Carbon Copy), Bcc (Blind Carbon Copy) etc.

Some of these are follows:

• Cc (Carbon copy) This allows an E-mail to be send to a large number of people by writing their respective addresses separated by commas.

• Bcc (Blind Carbon Copy) This is Cc, except that the recipient does not see the list of people in the Bcc field.

• Signature By this, you are often able to set a signature, meaning a few lines of text which will be added to the end of the document.

Replying to an E-mail Message

For replying to an E-mail message, follow these steps:

Step 1 Open the E-mail which you have to answer.

Step 2 Click on ‘Reply’ option.

Step 3 Click on ‘Reply to all’ option for answering the all recipients of To and Cc boxes.

Forwarding an E-mail Message

To forward an E-mail message, follow these steps:

Step 1 Open the E-mail which a user wants to f onward.

Step 2 Click on ‘Forward’ option.

Step 3 Enter the names of the recipients in To, Cc and Bcc boxes.

Step 4 Click on Send button.

Sorting and Searching an E-mail

To sort an E-mail, follow these steps:

Step 1 Click on Setting button.

Step 2 Click on Inbox tab.

Step 3 You can select the options like Default, Important first, Unread first, Shared first and Priority first from the inbox type list box.

Step 4 Click on Save changes button.

Step 5 After this, E-mails get sorted according to your choice.

To search an E-mail, follow these steps:

Step 1 Firstly, enter the sender’s name, subject of the E-mail etc. on the top of the text box for that E-mail which a user wants to search.

Step 2 Click on Search button.

Step 3 After this, the list of the E-mails will display according to the searching action.

Activating Spell Checking

Before sending a document, it is very important to check the spellings of that document. To activate the spell check, follow these steps:

Step 1 Click on COMPOSE button on Gmail account window. As a result, New Message box will display.

Step 2 Type the message in the body of new message box.

Step 3 Click on more options button and a menu will open. Click on Check spelling option in that menu.

Using Address Book

Address book is used to store the names and E-mail addresses of the people. In message window, address book is opened by following these steps:

Step 1 Click on COMPOSE button in Gmail account window. New message box will display.

Step 2 Click on To: of text field. As a result, Select contacts box will display.

Step 3 You can select any of the contact from Select contacts box by clicking on check box in front of E-mail address. If you want to select all contacts then click on Select all check box.

Step 4 Click on Select button. After this contacts get added into a line To:.

Sending Document by E-mail/Sending Soft Copy as Attachment

The files which are stored in computer can be send through E-mail.

To send a soft copy in form of attachment follow these steps:

Step 1 Click on COMPOSE button on Gmail account window. New message box will display on the screen.

Step 2 Type the E-mail address of the

recipient in To: line or you can also select E-mail address from your address book.

Step 3 Type the subject of the E-mail in the subject line.

Step 4 To attach any soft copy click on attach files button and the open dialog box will display on the screen.

Step 5 Select the file which you want to attach in open dialog box. After selecting the file, click on Open button.

Step 6 When the file gets attached to E-mail body, click on Send button.
